Source 4 Painting (“we”, “us”, “our”) is a painting contractor owned and operated by Elizabeth Davis, with its place of business at 818 Beale Street, Saint Paul, Minnesota 55155, USA. 2. Information we collect
Information you give us
- Name, telephone number and email address submitted through the estimate form or sent to us directly.
- Property location, and the details of the work you describe, including any photographs you choose to send.
- Scheduling preferences and correspondence relating to your enquiry or project.
- Billing information necessary to issue and settle an invoice. We do not store full payment card numbers; card payments are processed by our payment provider.
Information collected automatically
- Standard server log data: IP address, browser type and version, referring page, pages viewed and timestamps.
- Cookie and local-storage identifiers as described in section 6 and in our Cookie Policy.
We do not knowingly collect special categories of personal data, and we ask that you do not send them to us.
3. How we use your information
- To respond to your enquiry, arrange a site visit and prepare a written quote.
- To perform the contracted work, schedule crews and communicate about the job.
- To issue invoices, take payment and keep accounting records required by law.
- To honour warranty obligations and arrange any follow-up visits.
- To maintain the security and performance of the website and prevent misuse.
- Where you have opted in, to send occasional service reminders. Every such message includes a one-click unsubscribe.
We do not sell personal information, and we do not share it with third-party advertisers or data brokers.
4. Legal bases for processing
Where data-protection law requires a legal basis, we rely on: performance of a contract (quoting and completing your project); legitimate interests (running and securing our business, responding to enquiries, keeping simple aggregate site statistics); consent (non-essential cookies and optional marketing messages, which you may withdraw at any time); and legal obligation (tax and accounting records).
5. When we share information
- Service providers — our website host, email provider, payment processor and accountant, each acting on our instructions and bound to protect the data.
- Suppliers — where a paint manufacturer’s warranty claim must be filed on your behalf, and only with the details required.
- Legal — where disclosure is required by law, court order, or to establish or defend legal claims.
6. Cookies, analytics and advertising
This site uses a small number of strictly necessary cookies and browser storage entries so that pages function and so that your cookie choice is remembered. If you accept optional cookies, we may use privacy-respecting analytics and conversion measurement — including Microsoft Advertising and Bing Webmaster tools — to understand which pages lead to enquiries. These tools may set their own cookies and process limited technical data, including a truncated IP address. 7. How long we keep information
- Enquiries that do not lead to work: up to 24 months, then deleted.
- Project records, quotes and correspondence: 7 years, covering the warranty period and record-keeping requirements.
- Invoices and accounting records: 7 years, as required by applicable tax rules.
- Website server logs: up to 12 months.
8. Security
The website is served over HTTPS. Access to enquiry data is limited to the owner and the office staff who need it, protected by individual accounts and multi-factor authentication where the provider supports it. Paper records are kept in a locked office at our Beale Street address. No method of transmission or storage is perfectly secure, but we review these measures annually.
9. Your rights and choices
Depending on where you live, you may have the right to request access to the personal information we hold about you, correction of inaccurate data, deletion, restriction of processing, a portable copy, or to object to processing based on legitimate interests. Minnesota and other US residents may also have rights to opt out of the sale or sharing of personal information — we do not sell or share personal information for cross-context behavioural advertising.
To exercise any right, email contact@source4painting.ca with the subject line “Privacy request”. We respond within 30 days and will never charge you or treat you differently for making a request. If we cannot verify your identity from the details we hold, we may ask one confirming question.
10. Children
Our services are directed to property owners and managers. We do not knowingly collect personal information from anyone under 16. If you believe a child has provided us with information, contact us and we will delete it.
11. Changes to this policy
If we change this policy we will update the date at the top of the page and, for material changes, place a notice on the home page for at least 30 days. Continued use of the site after a change indicates acceptance of the revised policy.
